Q&A in a data room

Let participants ask questions directly in the data room and answer in threaded conversations. Control status, delete threads, and keep bidders' questions separate with private threads. Everything is logged in the activity.

Q&A keeps questions and answers inside the data room instead of scattered across email. A participant asks a question, and you answer in the same thread. Each question can be linked to a specific document, and the whole exchange is logged in the activity.

Q&A is part of the Data room module, which is an add-on. The tab appears in the room, but participants can only ask questions once Q&A is turned on in settings.

1Turn on Q&A in settings

Open the room and go to the settings menu at the top (Settings). Under Questions & answers you find two switches.

Questions & answers

Q&A module Participants can ask questions about the material and you can answer — everything is logged in the activity log.

Private threads Guests only see their own questions — e.g. so bidders don't see each other's. Turn off for a shared Q&A.

Note

With Private threads on, a guest only sees the threads they created themselves. You, as owners, see every thread. Turn it off if you want a shared Q&A where participants can see each other's questions.

2Ask a question

In the Q&A tab, click Ask a question. The dialog has three fields:

    Subject — the short heading, e.g. "Are there pending cases on the property?"
  2. 2
    Details (optional) — describe the question further
  3. 3
    Relates to document (optional) — link the question to a specific file, otherwise "No document"

Click Send question. The question is sent to the data room owners, and the answer comes back here in the room. Each thread shows the asker's email, an optional document name, and how long ago it was created.

3Answer and set status

Click a thread to expand it. Write in the Write a reply… field and send. Each reply shows the sender's email and timestamp.

As an owner you control the thread status with a selector that offers three options: Open, Answered and Closed.

Status Meaning
Open The question is awaiting an answer
Answered An answer has been given
Closed The thread is finished
Tip

Use Closed to tidy up answered threads without deleting them — the history is kept.

4Delete a thread

If you need to remove a thread entirely, click Delete thread at the bottom of the expanded thread. Only owners can delete.

Logged in the activity

All Q&A actions are recorded in the room's activity log alongside the rest of the activity — created questions, replies and status changes. You can follow along under the Activity tab.

Important

Q&A only works while the room is active. An archived data room is read-only, so questions cannot be created or answered.
