What happens when I accept an invitation

The difference between a team invitation and a document share: what you gain access to, and what changes when you accept each type.

Updated 7 June 2026

You can receive two kinds of invitations in Arcili — one to an entire team and one to a single document. They grant very different access. Here’s what happens when you accept each type.

1Team invitation: you become a member

When you accept a team invitation, you become a member of the team’s workspace with the role you’ve been assigned (Viewer, Member or Admin).

  • You gain access to the team’s data and the modules the team has enabled — depending on your role.
  • You now appear on the team’s member list with name, email and role.
  • You share projects and data with the rest of the team.
Note

Which modules you can use depends both on your role AND on which modules the team has turned on. If a module is missing, it isn’t enabled for your team.

2Document share: access to ONE file

When you accept a share of a single document (floor plan, spreadsheet or presentation), you gain access to exactly that one file — not the team’s full workspace.

  • You’re sent straight to the document after accepting.
  • Your role on the file (Reader, Commenter, Editor or Owner) is chosen by the sender.
  • You do not become a member of the team.
Team invitationDocument share
  • Team invitation → member of the workspace, access to data and modules by role.
  • Document share → access to one file, no team access.

3Common to both

Both types require you to sign in with exactly the email the invitation was sent to. Sign in with a different account and you can’t accept — log out and try again with the right one.
