Slide sharing and collaboration
Share presentations by email with viewer, commenter or editor roles, turn on a public read link, and collaborate in real time with live cursors and online avatars.
Share your presentations with colleagues and partners — with exactly the access each person needs. You can invite people by email, give them viewer, commenter or editor access, turn on a public read link, and see who is online and where their cursor is while you work in the same slide.
1Open the share dialog
Open a presentation in Workspace. In the top-right corner of the editor you'll find the Share button.
Click it to open the share dialog Share "[presentation name]". Your own role is shown as a badge next to the title — for example Owner or Viewer.
Only Owner and Editor can invite, change roles and manage links. As a Commenter or Viewer you can open the dialog and see who has access, but not change anything.
2Invite a colleague with a role
Type the colleague's email in the field and pick a role before you send:
Choose a role in the dropdown next to the email field, then click Invite. Roles control exactly what the person can do:
Viewer — Can view the presentation Commenter — Can view and comment Editor — Can edit, comment and share Owner — Full control — can delete and transfer
To add a greeting, click + Add message and write a personal message shown in the invitation email. The recipient receives an email with a link and accepts the invitation before they gain access.
3Keep track of access and invitations
Under People with access you see everyone who already has access — with name, email and role. As Owner or Editor you can here:
- Change a person's role directly in the role dropdown next to their name.
- Click to Remove access again.
Invitations not yet accepted appear under Awaiting acceptance with role and expiry date. Click Revoke to cancel an invitation that's no longer relevant.
4Share with a public read link
At the bottom of the dialog you can turn on a public read link. Click Turn on to create the link — the status then shows Public read link active, and anyone with the link can view the presentation (read-only, no login).
Click Copy to copy the link to chat or email. Click Turn off again to remove the link and close public access.
Use a public read link when you quickly want to show a presentation to someone outside the team. Use an email invitation with a role when the person needs to comment or edit.
5Collaborate in real time
When several people work in the same presentation, you see a stack of coloured avatars in the editor toolbar — one per person online right now. Hover over an avatar to see the name; if there are many, the rest appear as +N.
While others edit, you see their coloured cursor with their name move live across the slide, so you don't work on top of each other. To show the presentation full screen, click Present in the editor.
The slides editor is optimised for desktop. If a presentation is opened on mobile, you'll see Presentation requires a larger screen — open it on a computer to edit.
